To help identify slow-moving or blocked approvals, a central management page for open tasks has been provided. To navigate, go to the Administration menu tab and select Task Dashboard or Task Administration.
You need to have a System Admin access to view and access the Task Dashboard and Administration page.
Task Dashboard
This page contains several reporting tools that help administrators manage tasks efficiently. Key functions include:
Identifying Open Tasks: View all open tasks overviewed by system, user, or category, and grouped by Task Age (Current, Due, Overdue).
Link to Detailed Task Report: Use the included link to navigate to the Task Administration page, where you can review detailed reports on open tasks within the selected dashboard group.
Overview by System
Two chart options are available: Donut Chart and Bar Chart. Feel free to use whichever you prefer. Be aware that the systems shown in the screenshots below might differ based on your configurations. For more details on tasks within a chart group, simply click on the relevant section of the chart.
Overview by User
As administrators, we need a report listing all tasks assigned to a user. This overview panel will list the top 10 users with the highest number of tasks. The task count includes ALL tasks assigned to the user, separated into Open Tasks and Overdue Tasks columns. Open Tasks will include the overdue tasks, but not the other way around. For more details on the tasks assigned, clicking on the username will redirect to a detailed task report list.
Overview by Category
This report will list the categories of all currently open tasks. There may be cases where multiple Adapters are configured under the same Category name, the report will allocate a separate row for each Adapter. To differentiate between the two rows, hovering over the Category name will display the corresponding Adapter name in a tooltip.
Task Administration
There are two ways to navigate to the Task Administration page and view the Task Report list:
From the Task Dashboard page:
In one of the overview reports, click on any link from one of its categorized groupings.
From the Administration Menu:
In the upper right corner of OneList, go to the Administration menu tab and select Task Administration from the dropdown list.
Filtering Task Report List
If navigating from the Task Dashboard page, the report filters are automatically populated. To update filters or result list, user will need to click on the Search button again.
Task - Any text entered in the Task filter will be searched in the Title and Business Object column of the report.
System - This filter displays a dropdown list of all configured System. The selected option will filter the list entries by the System column accordingly.
Category - This filter displays a dropdown list of all configured Category. The selected option will filter the list entries by the Category column accordingly.
Task Type - This filter displays a dropdown list of all configured Task Type. The selected option will filter the list entries by the Task Type detail accordingly.
User - Any text entered on this filter will automatically search configured OneList users for a match. The selected user will then filter the list entries by the Assigned To column accordingly.
Created On - This filter displays a date range selection control, allowing the user to choose dates for the Created On column in the report.
Age - This filter displays a dropdown list containing the values All, Current, Due, and Overdue.
